Acro Media is based in Kelwona, Canada and we are looking for a full-time Office Admin to assist our swamped Controller. A kind hearted individual who loves organization, and we mean LOVES organization, no task is too small….or too large. You’re a helper - always on the lookout for ways to help the office run more smoothly. Whether it’s filling up coffee creamer or changing a lightbulb, you’re there. You’re the caregiver who assists the doctors and nurses of the Acro Media hospital. You enjoy and thrive within a high pressure and time sensitive role - positively approaching each unique day by busting out some proactive thinking.

Your Role in the Company

You are the gatekeeper, the friendly face of the company. You are always ready and willing to lend a hand or help in any situation. Sometimes there are tasks that nobody wants to do but you are there willing and able to get things done without complaint. Not only that but you make it look effortless. We need you to be our Donna from the TV show Suits. Your perception skills are high allowing you to recognize needs and be on top of it before we even have to ask. You proactively get things started when you hear about anything that is happening in your domain. You endeavour to have all the answers or at least know where to start in finding them. Without you, we would fall apart.

As the successful candidate, here are some of the things you’ll be responsible for:

  • Telephone coverage 
  • Reception of customers and walk-ins
  • Daily office tidying
  • Handling repairs and maintenance for the office
  • Sending out invoices and doing collections
  • Processing of receivables and payables
  • Recording accounting transactions and reconciling accounts
  • Organizing and maintaining electronic administration and financial filing system
  • Tracking of employee hours and schedules
  • Creating and maintaining internal documents
  • Managing domain name and SSL certificate orders and renewals
  • Assisting the Controller and HR Manager for documenting new processes
  • Adapt to new responsibilities as the company and policies change

Some key skills you’ll need in this role:

  • Excellent communication and relationship building skills
  • Accuracy, organization, problem solving and detail orientation
  • Ability to accept direction from multiple sources
  • Excellent computer skills and an in-depth knowledge of Microsoft Word and Excel, and Google Docs and Sheets
  • A pleasant and professional attitude
  • Bookkeeping experience
  • Ability to type a minimum of 50 words per minute.
    • If you are a successful candidate you will be asked to submit the results of a typing test.

Evidence of one or more of the following may tip the odds in your favor:

  • Previous Office Administration experience
  • A business administration diploma, certificate or degree
  • Experience working with QuickBooks

  • Flex start times & earned days off: Do you prefer to start at 8:00? 9:00? We'll work with you. Want every second Friday off? Well we've got a program for that too!
  • 7 hour work days with paid lunches: We have 7 hour work days (35 hour work weeks) with a full hour paid lunch. Niiiiiice.
  • Paid Overtime for all roles...including salary positions: What? What?! Yep you heard right. We pay for all approved OT, in fact, we pay for all overtime right after our short 7 hour work day...not that we want everyone working so hard, but with the natural ebb and flow of our industry sometimes it's needed to blast out the OT in order to keep our heads above water. We find this little pay cheque nugget is a nice reward for the over timerz.
  • Boating, skiing/boarding, hiking, wining & dining, mountain biking and more: Smack dab in the middle of the Okanagan in BC. Live an epic lifestyle.
  • Free stuff: Juice, pop, and coffee; choose your pleasure and enjoy.
  • Slappies: Tougher to explain but once a month we get together and have a little ceremony, some food, a few brews - no altars or corporate chants involved.
  • Fun day: We aim to have fun every day; however, every year for a day we cram a bunch of fun on ourselves. Weee!
  • SPARC Events: Sometimes we have an in-house breakfast, team building events, (less corny than it sounds), competitions, or just a plain little reward for no reason. It's a little spark in our usually normal days. Warning, we make you wear costumes. Often.
